Studio Rental Form

This is our standard studio rental agreement. Ultimately, this document is here to ensure you treat this studio like the special place it is.. We work really hard to make this affordable and accessible to every business and we hope you’ll do your part to return it to us in the same condition we gave it to you in. Upon signing, Renter agrees to the following terms:

This agreement confirms the rental of Big Slate Media Studio located at 1109 Abilene Place Knoxville, TN 37917 and rate specified and obligates the undersigned to pay the amount of the rental noted below, including any additional unforeseen expenses incurred during the dates of the rental. Unforeseen expenses might include, but are not limited to; additional rental days, overtime, equipment rental, damages, cleanup fees, waiting time for sets, props, equipment, etc. Equipment rented by Big Slate Media will require Renter to complete a separate Equipment Rental Agreement.

TERMS OF USE | WAIVER OF LIABILITY:

Big Slate Media rents its facility, which may include any limited equipment, to its customers with the understanding that in no event shall Big Slate Media be held liable for direct, indirect, incidental, or consequential damage, mishaps, accidents, or loss due to the use of this facility or equipment used by its customers.

RENTER hereby waives and holds harmless Big Slate Media, its owners, agents, employees, affiliated independent contractors and management from any incident or accident which may occur to or by persons either renting or associated with the renting of Big Slate Media studio on the dates noted below, or any additional dates added later. Renter agrees to waive the right to seek legal redress for mishaps, accidents, and losses. Renter also agrees to have read, fully understood and agreed to be bound by the general rules and payment terms of Big Slate Media.

Renter agrees to be solely responsible for the conduct and welfare of all persons accompanying Renter while on our premises. Renters are solely responsible for the safety and well-being of any models, talent and or independent contractor Renter engages. Renter understands that if Big Slate Media observes dangerous, negligent practices are being engaged in, Big Slate Media reserves the right to stop the shoot and require Renter and Renter’s party to leave immediately – HOWEVER, Big Slate Media assumes NO RESPONSIBILITY to act in such cases. Renters are solely responsible for verifying that all models and or talent employed during Renter’s rental period are of legal age for the activities they are to be engaged in. Renter agrees that a Big Slate Media representative will be present in the studio at all times Renters are occupying it

STUDIO USE:

Studio may be used for photography, videography or similar, with the exception of those activities that require, but are not limited to, the use of specialized ventilation, chemicals or flammable props. Studio may only be used for legal business activities.

Renter agrees to be respectful of our neighbors at all times and keep the event contained within the studio. There is absolutely NO SMOKING in the studio or in the offices of Big Slate Media. Smoking is allowed outside the building and butts should be picked up and thrown in an outside garbage can.. Renter is responsible for cleanup of smoking related debris (ashes, cigarettes, etc.) before leaving or a $50 fee will be assessed.

INSURANCE:

Renter shall have in effect the insurance coverage for its employees against worker's compensation claims in an amount as required by law, property damage and public liability with a combined single liability of $1,000,000, insuring against all liability of Renter. Big Slate Media, LLC shall be named as additionally insured and a COI (certificate of insurance) will be required. The Renter shall provide proof of insurance and the COI 24 hours prior to its use of the premises.

RENTAL PERIOD, FEES, CLEANUP:
Hourly rentals have a 1 hour minimum. Day rentals are based on a 10 hour day, from load IN to load OUT. Prep days and Strike days must be scheduled and additional fees will apply. After hour fees will accrue hourly at $100 per hour after the tenth (10) hour. A cleaning fee of $150 will apply if the studio is not in the same condition prior to the rental (this includes major marks to the cyclorama walls and floor or messes from glitter, liquids or dirt.)

PRODUCTION SERVICES:

All production services (equipment rental, digital services, catering, parking, etc.) can be booked independently by the Renter, or by Big Slate Media.

PAYMENT TERMS:

Unless prior arrangements have been made payment is due at the time of the rental. Unless prior arrangements have been made, payment is due at the time of the rental. Big Slate Media reserves the right to require payment upfront. Established customers with Big Slate Media may pay 50% at time of rental and the remainder net 30 days. Late payments will incur a $30 late fee for each delinquent day. Please make all checks payable to: Big Slate Media. Credit card payments will have a 4% surcharge.
